In this Core Concept video, learn about the two master data components subjects and departments. Subjects can be used to tag your grant with key words. Departments can be internal groups, programs or entities responsible for grants. In this video, you'll learn more about these concepts and how to add both subjects and departments to Euna Grants.

1. Welcome to the Euna Grants Core Concept video focused on the Master Data components of Subjects and Departments.
2. Master Data is the starting point for building a robust grants management system within Euna Grants. This data will be critical in setting up your grants, performance plans, budgets, and reporting.
3. This video covers manually entering Subjects and Departments. Import options are reviewed in another video on our support site. We recommend entering a few of each type to familiarize yourself with Euna Grants.
4. Let's start with Subjects. Subjects are keywords you can tag to a grant for enhanced search and filtering. Subjects are not required but can be valuable in Euna Grants. Grants can have one or multiple subjects tagged.
5. Wondering what to use for a subject? Examples include STEM, fitness, healthy living, community, senior services, and parks. Subjects can be broad or narrow and help track grant revenue, applications, or denials by type in Euna Grants.
6. Now let's talk about Departments. Departments help assign security access and organize your grant portfolio. They can represent internal teams, programs, or partner organizations responsible for grants.
7. Assign one or more departments to users or grants. Departments control access to projects and enable filtering, sorting, and reporting in Euna Grants for better portfolio management.
8. There are a number of different ways you can use Departments. One could be creating Departments that match segments of your organization, like Finance, Legal, Administration or Operations.
9. Another way to use Departments is to link entities that roll up together, like within a health system where you have numerous hospitals and doctors’ offices that are part of an Integrated Delivery Network.
10. Another way could be segmenting by areas of focus within your organization, like in our third example where the focus is on household pets, exotic animals and sea animals.
11. Now that we know the basics of subjects and departments, let’s dive into Euna Grants and create one of each! After logging in, you’ll land on the home page. To build a subject, navigate to Administration.
12. Click on Lists.
13. Then click Subjects.
14. This will take me to a list of any subjects that have been entered. To add a subject, click on the plus icon in the top right in the icon tool bar.
15. As you can see the only required field is the name. I will enter Health. This is a good area of the system to align internally on naming conventions to avoid duplication or abbreviations you do not want.
16. Then I will click the Create button.
17. Congratulations, you’ve just entered your first Subject. If you want to add more Subjects manually, you will need to repeat the process, starting with navigating to the Subjects page.
Next, lets add a Department. Start by clicking Administration.
18. Next click System Security and then click Departments.
19. This will take me to a list of any Departments that have been entered. To add a Department, click on the plus icon in the top right in the icon tool bar.
20. As you can see from the entry screen, the only required field is the Name field of the Department. However, you could also add a Description, a Unique Identifier, or both.
21. I will enter Finance here and will then click the Create button.
22. After clicking Create, the new Department and entered details appear. To edit, click the pencil icon. To add another Department, return to the Departments page and repeat the process.
23. In another Core Concept video, we create Staff and Users which can be assigned to Departments. To view the Members who have been assigned to a Department, navigate to the list of Departments, clicking on a Department name.
24. Then click the Members tab to see a Department's Members.
