The Copy Awards feature allows you to create new award records based on existing ones. When copying awards, you can choose which fields to carry over from the original record and enter updated values to override the original data across all copied awards.
Fields that are not selected in the Included Information column will be left blank in the copied awards, allowing you to complete them manually after the copy is created. Any values entered in the Updated Information column will be applied to all copied awards simultaneously.
Copied awards are always created in Pending status and must be manually activated before recipients can access them.
- Navigate to Program Management>Programs.
- Click on a Program Name.
- Select Awards>Program Awards.
- Check the box next to each award you want to copy.
- Click the (Copy) icon in the Actions menu.
- In the Award Details section, select the checkboxes in the Included Information column for the fields you want to copy. Use the Updated Information column to enter new values for any of the following fields:
- Funder Grant Manager
- Funder Additional Users
- Award Name
- Awarded Date
- Start Date
- End Date
- Awarded Amount
- In the Award Budget section, check the Post-Award Budget box in the Included Information column to copy the budget. Use the Updated Information column to update any of the following settings:
- Budget Creation Permissions
- Expense Creation Permissions
- Use Match Percentage As
- Default Cash Match - Cash Match Value
- Default In-Kind Match - In-Kind Match Value
- Default Other Funding - Other Funding Value
- Track Indirect Cost
- Calculate Indirect Target Amount
- Add Indirect Expense By
- In the Award Performance section, check the boxes in the Included Information column to copy the Post-Award Performance Plan and Post-Award Strategies. Use the Updated Information column to configure the following:
- Post-Award Scope
- Performance Plan Creation Permissions
- Achievement Creation Permissions
- Available Goal Types
- In the Award Settings section, select the checkboxes in the Included Information column for the settings you want to copy. Use the Updated Information column to configure:
- Budget Reporting Period
- Performance Reporting Period
- Add Expenses to Payment Requests By
- Allowable Amendment Types
- In the Award Reminders section, select the reminder fields you want to copy. Use the Updated Information column to set reminder intervals for Default Task Reminders, Default Budget Reminders, and Default Performance Reminders, entering the number of days before the due date for the First Reminder, Second Reminder, and Third Reminder.
- In the Award Risk Configuration section, select the risk fields you want to copy. Use the Updated Information column to set thresholds for Reporting Risk, Budget Risk, and Performance Risk, entering Low (To), Medium (To), and High values for each.
- In the Award Contracts section, check the Most Recent Contract box in the Included Information column to copy the contract from the original award.
Warning: Contract information copied into the new award will not be validated against external systems. The copied contract is provided for reference only and should be reviewed for accuracy.
- In the Award Custom Form Configuration section, check the boxes in the Included Information column to copy forms and extensions. Use the Updated Information column to update Award Forms and Award Form Extensions.
Note: Global Forms and Form Extensions are automatically included by default and cannot be removed.
- Review the confirmation summary.
- Click Copy.
Note: Copied awards are created in Pending status and remain inactive until you manually activate them.
