Project Management: Overview

The Project module, accessible from the left navigation panel, lets you link one or more grants to an overall project or segment a single grant into multiple projects. Use projects to plan and track performance and budgets at the project level, giving you access to advanced analytics and reporting.

Linking Multiple Grants to a Project

If you have an initiative or goal supported by multiple grants, you can link those grants together under one project. This approach is useful for connecting initiatives, locations, funding years, and issues across grants.

Common use cases include:

• Infrastructure improvement: A city receives separate grants for roads, parks, and buildings and links all three to one infrastructure project.
• Multi-year funding: An organization receives a separate grant each year for senior community outreach and ties each grant to one project to track the initiative over time.
• Multi-site programs: A health system where each hospital receives a grant for patient education links all hospital grants to one project.

Linking Multiple Projects to a Grant

You can also use the Project module to break a single grant into multiple projects by initiative or location. This is useful when one grant funds several distinct activities or sites.

Common use cases include:

• Multiple initiatives: A Department of Transportation grant funds highway resurfacing, signage improvements, and accident reduction, each tracked as a separate project.
• Economic development: A Department of Economic Development grant supports projects focused on small businesses, career placement, and training.
• Multi-site tracking: A health system receives a grant for drug safety and tracks progress separately at each hospital as individual projects.

Budget and Performance Tracking

Whether you link multiple grants to one project or multiple projects to one grant, you can connect performance plans and budgets between the grant and project levels. You do not need to link every goal or line item. If a grant funds activities unrelated to the project, you can report on those separately at the grant level without linking them to the project budget.

The following table outlines the access level for each project user role.

Project Tools

Projects include tools such as Tasks, Notes, Documents, and Email Manager. eSignature is not available as a project tool.

If you assign grants to a project, you can add the Project column to your Grants page. A project budget report is also available to track budgeted funds and actuals at the project level.
