1. Welcome to the Euna Grants Core Concept video focused on the Master data components of Departments and Budget Categories.
2. Master data is the starting point for building a robust grants management system within Euna Grants. This data will be critical in setting up your funds, opportunities, budget templates, and scoring workflow responsibilities.
3. In this video, we’ll walk through manually entering Departments and Budget Categories in Euna Grants. Import options are available and covered in a separate support video. Manual entry is recommended to help users get comfortable with the system.
4. Let’s start with Departments. They help assign security access and allow you to filter or sort your opportunity portfolio. They may be internal areas, programs, or external partners. One or more Departments can be assigned to a user or opportunity.
5. Departments are also key in security within Euna Grants, having a user in a Department will dictate what opportunities or awards they have access to. Finally, Departments can be used to filter, sort and run reports within Euna Grants.
6. There are a number of different ways you can use Departments. One could be creating Departments that match segments of your organization like Finance, Legal, Administration or Operations.
7. Another way to use Departments is to link entities that roll up together, like within a health system where you have numerous hospitals and doctors offices that are part of an Integrated Delivery Network.
8. You could also segment by areas of focus within your organization. In our third example, the structure includes household pets, exotic animals, and sea animals—each representing a unique program or operational focus.
9. Next, let’s talk about Budget Categories. These are used to group line items within a budget. Budget categories are critical, as you cannot build a Budget Template for an application in Euna Grants without them.
10. Each budget line item must be assigned to only one Budget Category. Euna Grants includes built-in federal categories you can use, and you can also add Custom Categories. Both types function the same within the system.
11. Let’s dive deeper into pre-loaded Budget Categories. These are a pre-defined list that are available in Euna Grants. Categories include: Construction, Consultants/Contracts, Equipment, Fringe Benefits, Personnel, Supplies, and Travel.
12. Next, let’s talk about Custom Budget Categories. These serve the same function as the federal pre-loaded categories, but you can enter your own list with any names. The only required field is the name, and every budget line item must have a category.
13. A few important reminders, there are no functional differences between the pre-loaded or Custom Categories, and every budget line item must have a category.
14. Now that we know the basics about Departments and Budget Categories, lets dive into Euna Grants and build one of each! After we log-in to Euna Grants we land on our homepage. To build a Department, we’ll first navigate to Administration.
15. Then, click System Security
16. Next, click Departments
17. To add a Department, click on the plus icon in the top right on the icon tool bar.
18. As you can see from the entry screen, the only required field is the name of the Department. However, you could also add a description and a unique identifier. I’ll enter Finance as my new Department.
19. Select the Create button at the bottom of the screen.
20. I can now see my new Department. If you need to edit the Department you’ve created, you can click on the pencil icon in the icon toolbar.
21. In a separate Core Concept video, we create Staff and Users, which can be assigned to departments. To view the Members of a Department you would click on the Members tab while on the department’s details screen.
22. Right now, there are no Members in my Department, but we’ll add some in another video. For now, let’s move on to Budget Categories. To begin adding them, click on Administration.

24. Then, click Budget Categories
25. The Federal Category Information area contains predefined federal categories. The below Custom Category Information section contains Custom Categories. There is no functional difference between the two. Click the plus icon to add a Custom Category.
26. A box will appear at the bottom of the Custom Category list for you to enter the name.
27. Type Education as the name of our Custom Category.
28. Budget Categories require a double save. First, click the save icon.
29. Then click Save Changes at the bottom of the screen.
