Individuals are staff that work at external entities. Learn about these master data components and how to add them in Euna Grants.

1. Welcome to the Euna Grants Core Concept video focused on the master data components of Organizations and Individuals.
2. Master data is the starting point for building a robust grants management system within Euna Grants. This data will be critical in setting up your funds, opportunities, budget templates, and scoring workflow responsibilities.
3. This video covers manually entering Organizations and Individuals. Import options are reviewed separately. We recommend manually entering a few of each master data type to get familiar with Euna Grants and understand the data structure.
4. Organizations can include funders, vendors, and partners. Any external entity you want tracked in Euna Grants can be logged as an Organization. Only the name is required, but you can capture many other useful details in the system.
5. As you think about adding Organizations, we recommend aligning internally on a naming convention standard. As you go deeper into Euna Grants, it can get confusing if some organizations use abbreviations while others have names fully spelled out.
6. Next, we’ll look at Individuals. Individuals are people at any external organization. You can link Individuals to the Organizations we just learned about.
7. For instance, if Grace Grant is a Director at the Department of Economic Development who is your funding source, you can link her to that Organization. Grace can be your primary contact, and you can also add Jake Jones as another Individual there.
8. Now, let’s take a look at Euna Grants and enter an Organization and an Individual together! When you log into Euna Grants you will land on your homepage. On the left navigation menu, click on Contacts.
9. Then, click Organizations.
10. To add your first Organization, click on the plus sign in the upper right hand corner on the icon tool bar.
11. As you look at the required fields on the Organization entry screen, the Name is the only field that must be filled in to proceed. However, you can enter additional entity information such as the address, email address, website, etc.
12. One field to note is the Organization Type. The dropdown includes Vendor, Federal/State/Local Government, Foundation, or Corporation. It’s not a required field, but adding a type helps with filtering. We recommend assigning one to each Organization.
13. After you complete entering the information on the Organization, scroll to the bottom of the screen and select the Create button.
14. Congratulations for entering an Organization! After you hit the Create button, you'll see the Organization Details page. To edit, click the pencil icon in the top right toolbar. This will return you to the editable version of the Organization page.
15. Next, let’s enter our first Individual. Remember, Individuals are anyone who is associated with an external organization. To get to the Individuals page, I will again click on Contacts on the left navigation bar and then Individuals.
16. Just like on the Organization tab, to enter our first Individual, I will click on the plus sign in the upper right hand corner on the icon toolbar.
17. This opens an editable form to add an Individual. The only required fields are First Name, Last Name, and Email Address. You can also store information like Title, Address, Phone, and more. I’ll enter their name and email.
18. Then I’ll scroll down and click the Create button.
19. This takes you to the Individual detail page, where you’ll see their profile. To edit, click the pencil icon in the top right toolbar. Other options in the icon toolbar include copying or deleting the Individual.
20. Next, I want to link my new Individual to the Department of Economic Development where they work. To do that, I’ll click on Relationships at the top, then Organizations.
21. Right now, this Individual is not linked to any Organizations. To create a link to an Organization, I’ll click on the plus icon in the top right corner.
22. This opens a list of Organizations that I can link the Individual to. To link, check the box next to the appropriate Organization, here I’ve selected the Department of Economic Development. Then in the bottom right, click the Add button.
23. After selecting the Add button, you will see a list of the Individual’s linked Organizations. If you need to delete the link, click on the trash can icon, or to edit click on the pencil.
24. Now, I want to add this Individual as the primary contact for their linked Organization. This helps identify the appropriate email later. I’ll go into this Individual's record, select Contact Info, then Email Addresses.
25. To mark the Individual as the primary contact, I will select the flag icon then click the Mark button to save.
