New
APIs
The Expense v1 API returns an Actual Cost Type value for each expense and accepts “Expense” or “Encumbrance” when creating or updating records. Existing integrations need no changes because the field is optional and defaults to Expense.
The Expense v2 API accepts an optional Actual Cost Type value when creating expenses, which defaults to Expense when omitted.
Custom Reports
The Grant Expense category includes an Actual Cost Type field that shows “Expense” or “Encumbrance,” so users can filter, group, and display expenses by type.
Expenses
Users can classify each expense as an Expense or an Encumbrance using the Actual Cost Type field in the create and edit windows. New expenses default to Expense, and existing expenses keep their current type.
The Actual Cost Type column appears on the Expense grid by default, and users can sort, filter, group, and export by it.
Encumbrances with no description show “Encumbrance” in the Description column of the grid. This is a display value only and is not saved to the record.
Users with expense edit permissions can change an expense’s type. A warning appears before an expense is removed from an unsubmitted reporting period or payment request, and the removal occurs only when the record is saved.
Account Admins can map an Actual Cost Type column when importing expenses. Rows without a value import as Expenses.
When system-generated indirect expenses are turned on for both the grant and the budget line item, a direct encumbrance also creates a matching indirect encumbrance.
Reporting Periods
Encumbrances are excluded from the expense lists used to build reporting periods, periodic reports, and payment requests, so submitted reports include only actual spending.
Fixes
Awards
Recipient data imports into a linked award no longer change funder-controlled fields. Only the recipient award name, department, subject, recipient manager, and description update, and all other fields keep their current values.
Custom Reports
Custom reports load significantly faster, including reports that pull in many custom form fields.
Expenses
Users can create expenses in budgets that include multiple Indirect Cost budget lines without receiving an error.
